Your responsibilities

• Manage complex calendars, coordinate meetings and optimize daily schedules
• Prepare agendas, take minutes, and ensure timely follow-up on action items from board and strategic meetings
• Draft high-level correspondence, reports, presentations, and internal communications
• Assist in data collection, analysis, and reporting on various cross-company initiatives
• Serve as a point of contact between executives, internal teams, and international key partners or clients
• Coordinate travel arrangements and logistics for domestic and international business trips
• Assist in planning and executing leadership events, workshops, and company-wide communications
• Help optimize internal workflows and suggest improvements in executive support processes

Our requirements

• Has 3+ years of experience in a similar executive support role, ideally within a fast-paced or multi-entity organization
• Demonstrates exceptional organizational, interpersonal, and communication skills
• Can handle multiple priorities while maintaining a high level of professionalism and discretion
• Is fluent in Polish and English (spoken and written)
• Is confident using Microsoft 365 (Word, Excel, PowerPoint, Outlook) and collaboration tools like Teams
• Has a proactive mindset, strategic awareness, and can anticipate the needs of executives before they arise
• Is ready to work onsite (our beautiful office is located just next to Tor Służewiec)
