As the Customer Service Representative you will support Site Manager in daily duties and tasks as well in any relevant aspect of his daily agenda mainly processing communication and transfer of information to and from the employees.

Additionally, it’s a front office representative being first point of contact welcoming Visitors, Guests and callers, handling inquiries and directing Individuals to appropriate service or person onsite.

Collaborate with other departments of organization to ensure precise flow of documents, posts and other questions while at the same time smooth running of the department. In addition, function also involves procurement responsibility with placing an orders.

KEY RESPONSIBILITIES:

  • Supervision of the employee documentation, especially delegation forms and reconciliations

  • Perform administrative and office support tasks such as scanning, faxing

  • Manage scheduling for each of the subjected roles individually

  • Coordinate travel arrangements (Hotels & Tickets)

  • Maintain various records and documents

  • Perform basic filing and record-keeping

  • Scheduling appointments, organizing and handlings meetings rooms appointments

  • Supporting internal and external events involved in organizing catering for the visitors/guests onsite

  • Providing administrative assistance, such as writing and editing email, drafting memos and preparing communications

  • Correspondence and packages handling

  • Liaison with other departments in the company

  • Raise PO to the suppliers and work with SAP system

KEY QUALIFICATIONS, EXPERIENCE AND SKILLS:

  • Strong interpersonal, communication, organizational, follow up, problem resolution and facilitation skills while working with various levels of the organization

  • Strong analytic skills for working with datasets to transform data and approach these problems in a creative manner

  • Initiative — Job requires a willingness to take on responsibilities and challenges

  • Very good written and oral communication in Polish and English

  • Skillful analysis and statistics

  • Very good knowledge of MS Office
