Your responsibilities

  • Coordinate with external accounting providers – share documentation, verify entries, prepare payment lists
  • Manage invoice flow, contractor payments, and financial records
  • Monitor team-related expenses, subscriptions, vendor payments, and budgets
  • Financial reporting and data preparation for management
  • Implementation of business process changes to improve financial planning and reporting
  • Ad-hoc duties related to financial activities
  • Handle document flow for employees and contractors
  • Liaise with payroll providers (external) and ensure accurate and timely inputs.
  • Maintain personnel documentation and ensure legal compliance (HR and GDPR)
  • Support internal culture-building initiatives (benefits, internal communication, well-being activities)
  • Spot inefficiencies and propose process improvements across HR/Finance operations
  • Create internal procedures (e.g. office policies, work guidelines)
  • Act as an internal point of contact for operations topics – collaborate closely with leadership and team members

Our requirements

  • Someone who:
  • Has 2 years of experience in Finance, HR, or operations (ideally in a startup or growing company)
  • Has a good understanding of Polish accounting, contracts (B2B / civil), and labor basics
  • Knows Excel / Google Sheets at least on intermediate level: formulas, pivot tables, data consolidation and likes work with Excel
  • Understands basic rules of cost control and cash flow processes
  • Is able to organize work independently and creatively
  • Is solution-oriented and flexible
  • Possesses a strong desire for continuous learning and actively seeks opportunities to share innovative concepts

Optional

  • We are looking for an adaptable and proactive Operations Specialist (this could be a part-time role - you can adjust tasks to your daily rhythm) who will support our team across finance and HR operations. This is a hands-on role, perfect for someone who enjoys organizing, streamlining, and building processes from scratch. In this role, you propose changes and implement them. You measure the effects and can prove the impact 🙂
